>Executive Assistant to Group Managing Director (MD)
QUALIFICATION/EXPERIENCE/PACKAGE
• Bachelor Degree in Business, Technology, Management or related field (MBA Preferred).
• 3+Years in executive Support roles, Preferably Supporting C-Suite Executive or founder
• Exp: in multi-company or group structures, exposure to manufacturing, Real estate, or emerging market is advantageous
• Previous work in Africa or with remote multicultural teams is preferred
• Package –INR 150,000/ month net
• Reporting to – Group Managing Director
• Location: -Ethiopia (with possible travel or remote
Coordination across group operations in Africa and Beyond.
• Advance Skill I Microsoft 365 Suit, Project management tools (Asana, Notion), and Automation plateform (zapier,Make or Similar)
• Function Base- Finance, Project, Production etc.
• Tech-savvy with hands-on experience in AI tools, automation platforms, and cloud-based systems.
• Strong business acumen and critical thinking, with an ability to connect operational details to strategic objectives.
• Excellent written and verbal communication across multicultural and executive environments
• Resilient under pressure, proactive, and results-oriented.
• Discretion, integrity, and strong sense of owners
Position Summary
The Executive Assistant (EA) will serve as a strategic partner to the Group Managing Director, providing comprehensive executive support, data-driven decision facilitation, and digital process enablement.
The role demands a high-nergy individual with a strong appetite for growth, a sharp intellect, technological agility, and exceptional organizational skills. The ideal candidate must be proactive, tech-savvy, and comfortable operating in a dynamic, multi-national business environment.
Each EA will specialize in a functional vertical (e.g., Finance, Production, Projects) to ensure centralized monitoring, reporting, and support for the MD across all group companies.
Job Description:
a. Executive Support & Time Management
i. Manage the MD’s complex calendar with precision, ensuring optimal scheduling aligned with strategic priorities.
ii. Coordinate and organize global travel plans, visa arrangements, and protocol requirements.
iii. Prepare briefing notes, presentations, agendas, and reports with clarity and data accuracy.
Monitor inboxes and communication channels; filter and prioritize actionable matters for the MD.
b. Strategic Project & MIS Management
i. Track key group-wide projects and function-specific initiatives, ensuring accountability and timely delivery.
ii. Compile real-time dashboards, executive summaries, and analytical insights using digital tools and AI-based systems.
iii. Conduct research and synthesize data for strategic decisions
iv. Drive automation initiatives in recurring reporting (MIS, KPIs) using AI tools like ChatGPT, Notion, Asana, etc.
c. Communication & Stakeholder Liaison
i. Serve as the MD’s primary communication bridge with internal departments, board members, external partners, and government stakeholders.
ii. Draft, proof, and manage executive-level communication with professionalism and diplomacy.
iii. Represent the MD in select meetings and maintain continuity in discussions and follow-ups.
d. Meeting & Event Coordination
i. Organize strategic meetings, leadership reviews, off-sites, and board meetings.
ii. Prepare pre-read materials, take accurate minutes, and ensure implementation of action points.
iii. Coordinate logistics and liaise with departments for smooth execution of meetings and events.
e. Tech-Enabled Efficiency & Office Systems
i. Lead the digitization of executive workflows (e.g., document management, approvals, reminders).
ii. Implement AI tools for streamlining calendar, task management, and communication.
iii. Create automations and workflows to reduce redundancies in repetitive tasks.
f. Financial, Legal & Compliance Assistance
i. Assist in reviewing and summarizing financial documents, legal agreements, and vendor proposals.
ii. Track budgets and expenses related to the MD’s office, ensuring accurate reporting and compliance.
iii. Coordinate with finance and legal teams for timely submissions, approvals, and audits.
g. Confidentiality & Ethical Standards
i. Handle sensitive business, personal, and financial information with complete discretion.
ii. Maintain strict confidentiality and ensure security of strategic business documents and communications.
